How to complete an in-person Proof of Address check

Learn how to run a Proof of Address verification check with a client present using Legl's in-person verification flow.

Overview

In-person Proof of Address allows you to run a verification check directly on behalf of a client — without sending them a workflow to complete. This is useful when a client is present at your office and can provide their proof of address document in person.

This guide explains when to use in-person verification, how to complete the check, and where to find the result.


Before you start

  • The Proof of Address Verification feature must be enabled for your firm. If you are unsure, contact your administrator.

  • The client must have their proof of address document available — either a physical copy you can photograph, or a digital version you can upload.

When to use in-person verification

Use in-person Proof of Address when:

  • A client is present at your office and you want to verify their address document on the spot

  • You need to run a Proof of Address check that was not included in the original workflow sent to the client

  • Your firm prefers to handle document verification directly rather than through a client-facing workflow

ℹ️ Important

In-person verification is completed by a member of your firm, not the client. The client does not receive a link or notification.


How to complete an in-person Proof of Address check

  1. Go to Engage > Individuals

  2. Click + Run in-person CDD

  3. Select Proof of Address from the available options.

  4. Add the matter reference, reviewer and any notes.

  5. Continue

  6. Enter the clients first name and last name, or select a contact

  7. Enter the clients Date of Birth & Address details.

  8. Continue

  9. Click Start Verification

  10. Select issuing country

  11. Select the document type

  12. Upload an image of the client's proof of address document. You can photograph a physical document or upload a digital copy.

  13. Submit the check for verification.

  14. View Results

ℹ️ Important

Make sure the image is clear and legible before submitting. Poor image quality may affect the verification result.


What happens next

Once submitted, Legl runs the verification automatically. The check analyses the document against four data categories:

  • Data Comparison — does the client's name and address on the document match the details on record?

  • Document Classification — is the document type supported and within the required date range?

  • Image Integrity — is the image quality sufficient for verification?

  • Source Integrity — are there any signs of tampering or fraud?

You do not need to take any further action while the check is running.


Where to find the result

The verification result is recorded on the client's record in Legl. Return to the client's Proof of Address section to view it once the check has completed.

Results will show as one of the following:

  • Clear — the document passed all checks

  • Consider — one or more checks flagged a concern that requires your review

Important information

  • Proof of Address Verification is charged per document verified. Each in-person check counts as one billable verification. Contact your administrator if you have questions about billing.

  • Legl does not make compliance decisions on your behalf. Verification results support your review — they are not a final determination.

  • If a result returns as Consider, your firm is responsible for reviewing the flagged information and deciding how to proceed.

  • In-person checks cannot be undone once submitted.


Troubleshooting

The image is rejected or the result is inconclusive
Make sure the document image is well-lit, in focus, and shows the full document without cropping. Retake or re-upload the image if needed.

The client's name or address does not match
Review the details held on the client record in Legl and correct any discrepancies before resubmitting. If the mismatch is in the document itself, treat this as a compliance consideration for your firm to review.
