How to manage your team & departments

Learn how to manage user roles, departments and permissions across Engage, Pay, and Risk Assessments in Legl.

Overview

Admins can set each user's role and department, choose which departments are available to the firm, and edit a user's name. Admins also control what each user can access by assigning permissions across different products and features.


Before you start

  • You must have Admin access in Legl


How to manage roles and departments

Each user has a department and a role. You can change both from the Team tab.

  1. Go to Settings > Team & departments.

  2. On the Team tab, find the user you want to update.

  3. Select the Department or Role drop-down on their row and choose a new option.

Roles

A role is a label that describes what the user does at your firm, for example Paralegal or Office Manager. It does not change what the user can see or do in Legl. To control access, use permissions.

Departments

Admins choose which departments are available for their firm. Only these departments appear in the Department drop-down on the Team tab.

  1. Go to Settings > Team & departments and select the Departments tab.

  2. Under Practice areas and Management, operations & finance, tick each department your firm uses.

  3. Select Save departments.

ℹ️ Further guidance

Departments are used by Ethical walls. If your firm uses Ethical walls, only Admins can change a user's department, and a user's department decides which restricted contacts' Engage workflows they can see.


How to edit a user's details

  1. Go to Settings > Team & departments.

  2. Find the user, select the three dots (⋯) in the Actions column, then choose Edit details.

  3. Update the First name or Last name.

  4. Select Save.

ℹ️ Important

You cannot change a user's email address in Legl. To change it, contact our Support team.


How to manage user permissions

  1. Log into your Legl account.

  2. Go to Settings > Team & departments.

  3. Locate the user you want to update. Select the three dots (⋯) in the Actions column, then choose Edit permissions.

  4. Toggle permissions on or off as required.

To update department, role, or permissions for several users at once, select their checkboxes in the table and use the bulk edit options.


Firm Admin permissions

Firm Admins have full access to Legl, including:

  • Bank accounts: Review and add bank accounts.

  • Team: Add users and manage roles, departments, and permissions.

  • Departments: Control which departments can be selected, restrict workflows, and determine which restricted contacts a user can see.

  • Ethical walls: change who can see a contact's Engage workflows (firm-wide, or restricted to named users and departments), and view every contact's Engage workflows.

To set a user as an Admin, toggle Firm Admin to green. Toggle to grey to remove Admin access.


Engage permissions

  • Product enabled: Access all Engage features.

  • Business onboarding: Run company reports in Engage > Business.

  • Engage insights: Access Insights > Engage tabs.

  • View MLRO oversight: Access the Insights > MLRO Oversight tab.


Pay permissions

  • Product enabled: Access all Pay features.

  • View all payments: View payments not created or requested by the user.

  • View insights: Access Insights > Pay.

  • Can refund payments: Issue refunds for Pay transactions.


Risk Assessment permissions

  • Override Risk Rating: Manually override the risk rating of a risk assessment.

  • Close & reopen risk assessments: Close a risk assessment once it's complete, or reopen a closed risk assessment.


Important information

  • Only Firm Admins can add users and manage roles, departments, and permissions.

  • A role is a label only. It does not change what a user can access.

  • You cannot change a user's email address in Legl. To change it, contact our Support team.

  • By default, all users have firm-wide visibility of Engage requests and checks. There are two ways to narrow this: restrict a contact to named users or departments using Ethical walls, or enable the Consultancy Model so each fee earner only sees their own requests.

  • Turning on "Product enabled" for Engage or Pay grants access to all features within that product.

  • Permissions such as "Can refund payments" and "View insights" control specific actions and financial visibility, so assign them carefully.

  • If your firm uses Ethical walls, only Admins can change a user's department, and a user's department decides which restricted contacts' Engage workflows they can see.
