Understanding what users can see with Ethical walls

What Admins, users with access, users without access and users with no department can see when a contact's visibility is restricted.

Overview

When a contact's visibility is restricted with Ethical walls, what a user can see depends on whether they are an Admin, whether they have been given access, and which department they are in. This article explains what each type of user sees.

Where you will see this

  • Under an individual clients Contact page

  • When creating a contact, or an Engage request


What this means

Admins

Admins can see every contact and every Engage workflow, whatever the contact's setting.

Users with access

Users who have been given access, by name or through their department, can see the contact and all of its Engage workflows.

Users without access

  • Can still see the contact in the contact list, and the contact's details.

  • Can select History next to Visibility to see who has access.

  • Cannot see the contact's Engage workflows. They do not appear in the Engage list. If the contact has Engage requests, the Activity tab shows "You don't have permission to view these details".

  • Cannot reach the contact's Engage workflows through the Legl API either.

ℹ️ Important

Users without access will still be able to see an contacts Risk Assessments and Pay requests.

Users with no department

Users who are not in any department can only see Engage workflows for firm-wide contacts, and for restricted contacts where they have been added by name.


Common reasons you might see "you do not have permission"

  • The contact is restricted and you are not one of the named users.

  • The contact is restricted to departments you are not in.

  • You are not in any department, and the contact is not firm-wide.


What you need to do

If you need to work on the contact, ask an Admin to give you access. Admins can follow How to change who can access a contact's Engage workflows. If you do not need access, no action is needed.


What happens next

Once an Admin gives you access, the contact's Engage workflows appear in your Engage list and on the contact's Activity tab.


Important information

  • Ethical walls apply to individual contacts only.

  • Ethical walls restrict a contact's Engage workflows, not their contact details. Name, email address and address can still be seen by other users.

  • Restricted contacts are not hidden from the contact list.

  • Admins always have access to every contact.

  • Ethical walls apply to Engage workflows only. They do not currently apply to Risk Assessments or payments.
