How to set up and send a Qualified Electronic Signature (QES) request

How to create or edit a workflow with a QES step and send a signing request to your clients.

You can request a Qualified Electronic Signature (QES) from clients as a standalone workflow or as part of a broader onboarding process alongside other checks. This article covers how to set up a workflow with a QES step and how to send the request to your client.


Before you start

  • You need Administrator access to create or edit workflows in Legl

  • You need the document you want signed, ready to upload. Supported file types: PDF, DOC, DOCX, TXT, JPG, JPEG, PNG. Maximum file size: 50 MB. Password-protected PDFs cannot be uploaded


How to set up a QES workflow

  1. Go to Engage > Workflows.

  2. Click Create new workflow, or open an existing workflow to edit it.

  3. Add a getting started message if required, then click Add step.

  4. Select Request signature(s).

  5. Enter a step name, an optional description, and a document name.

  6. Under Signature type, select Qualified Electronic Signature (QES).

  7. Click Add to workflow, then save the workflow.


How to send a QES signing request

  1. Go to Engage > Individuals and click Create Engage Request.

  2. Enter your client's details and select the workflow containing the QES step.

  3. Upload the document by dragging and dropping it, or clicking Browse files.

  4. Click Tag document(s).

  5. In the Document signers modal, confirm the signer's details. Click Add another signer if additional signers are required, then click Continue.

  6. In the tagging view, select the active signer from the dropdown, then drag the Signature and Date fields onto the relevant areas of the document. Repeat for each signer.

  7. Click Save.

  8. Click Create Engage Request.

  9. Configure any sending settings such as CC recipients and reminders.

  10. Click Send email, or copy the shareable link to send manually.


What happens next

Your client receives an email with a link to complete the signing request. They will be guided through an identity verification step before signing. Once complete, you will be notified and can review the signed document and audit receipt in Engage.


Important information

  • Only Administrators can create and edit workflows in Legl

  • Supported file types for upload: PDF, DOC, DOCX, TXT, JPG, JPEG, PNG. Maximum file size: 50 MB. Password-protected PDFs cannot be uploaded

  • Each signer must have their own Signature and Date fields tagged in the document

  • Clients need a government-issued ID and a mobile device to complete the identity verification step
