How clients complete a Qualified Electronic Signature (QES) request

Understand what clients experience when completing a QES signing request, from receiving the invitation through to signing.

Overview

When you send a Qualified Electronic Signature (QES) request through Legl, your client completes a guided signing journey that includes identity verification before they sign. This article explains each stage so your team can set expectations and support clients through the process.


How this works

Your client completes the request in three stages: getting started in Legl, verifying their identity, and creating their certificate to sign.

Part 1: Getting started in Legl

  1. The client receives an email from Legl inviting them to complete the request. The email contains a unique link, the same as any Engage request.

  2. They open the link and land on the Legl client-facing page, which lists the steps to complete.

  3. In the Getting started step, they agree to Legl's Terms of Use and Privacy Policy and select Agree & continue.

Part 2: Login to Signhost

  1. In the Qualified E-signature step, they select Review and sign and are redirected to Legl's signing partner, Signhost.

  2. On Signhost, they view the document and select Next.

  3. On the Sign stage, they select Login with Signhost QES.

  4. At the Verify your identity step, they select Start verification.

  5. They add their personal information (first and last name) and select Continue.

  6. They are asked to continue on a mobile device. They select Get secure link and scan the QR code, or use Copy link or Get link via SMS, to open the verification on their phone.

Part 3: Verify identity & sign

  1. On their phone, they complete identity verification:

    1. select their country,

    2. select their ID document type,

    3. capture a photo of the ID document,

    4. record a short biometric video.

  2. Once verification is complete, they return to the page they started on, whether desktop or mobile.

  3. At the Create and use your digital signature step, they review the certificate application form, terms and conditions, and privacy notice, check the boxes to certify the content and accept the terms, and select Create my certificate.

  4. They return to the Signhost signing page and the document is signed automatically.

  5. The client is routed to a completion page confirming their information has been successfully submitted, where they can close the window. The completed signing is recorded back on the Engage request in Legl.


What triggers this

The client journey begins when you send a QES request from Legl. The client is notified automatically by email as soon as the request is sent.


What you will see

Once the client has completed the journey, the Qualified E-signature step updates to Signed, showing the date and time, and you receive the usual Engage notification email letting you know the request is ready for review. The signed document and audit receipt are then available to access and download from the request.


Important information

  • The client needs a valid photo ID document and a mobile device. The identity verification step is completed on a phone and cannot be skipped.

  • Identity verification and signing are handled by Legl's partner Signhost, with identity checks carried out by Onfido. The client will see partner branding during these steps.

  • The client is not sent a copy of the signed document. The signed document and audit receipt remain available to you in the Engage request.

  • If your client cannot complete identity verification or has issues signing, contact our Support team for assistance.
