What is Legl Pay?

Understand what Legl Pay is, how it works, and how it helps your firm request, track, and receive payments efficiently.

Overview

Legl Pay is Legl’s integrated payment solution, designed to help law firms request, receive, and manage client payments in one place. It enables firms to send secure payment links, take payments by phone or in person, and track all transactions through a central dashboard. Legl Pay is typically used by fee earners, finance teams, and administrators managing client billing and reconciliation.


What you can use Legl Pay for

Legl Pay supports a range of payment workflows across your firm, including:

  • Sending secure Pay Requests directly to clients by email

  • Creating Payment Plans to spread larger invoices into instalments

  • Generating Checkout Links for one-to-many or invoice-based payments

  • Taking payments over the phone or in person without a physical card machine

  • Adding payment steps into Engage workflows (for onboarding fees, money on account, or search fees)

  • Monitoring outstanding and completed payments in real time

  • Refunding full or partial payments

  • Exporting payment and transfer data for reconciliation


How Legl Pay works

Legl Pay centralises all payment activity within the Pay dashboard.

When a payment is created (for example, via a Pay Request, Checkout Link, or Phone Payment), it is tracked with a clear status such as Created, Sent, Paid, Refunded, or Transferred.

Users can filter, search, and export this data as needed.

From the client’s perspective, payments are made through a secure, branded payment page that includes your firm’s logo and contact details. Clients can pay by card, and where enabled, Pay by Bank.

Once a payment is successfully made:

  • The client receives an automatic email receipt.

  • The payment status updates in real time on your dashboard.

  • Funds are first received into a Legl holding account.

  • Transfers are made to your firm’s nominated bank account twice daily (9am and 4pm, Monday to Friday).

Multiple payments received within the same transfer window are grouped into a single transfer, with a full breakdown available in the Transfers tab. This supports faster cash flow and simplified reconciliation.

Legl Pay also includes:

  • Automated reminder schedules for unpaid Pay Requests

  • Internal comments visible only to your team

  • Reporting and analytics within the Insights tab, including totals, average time to pay, department breakdowns, and transaction fees


Where to find Legl Pay in Legl

You can access Legl Pay from the Pay section in the main navigation.

Within this area, you will find:

  • The Payments dashboard (to view, filter, and manage payments)

  • The Create Pay Request button

  • The Transfers tab (to view payout breakdowns)

  • The Insights → Pay section (for reporting and analytics)

Permissions and access

Most users can create and manage payments within the Pay dashboard.

However:

  • Editing Engage workflows to include payment steps is typically restricted to Admin users.

  • Adding or amending bank accounts and payment limits requires administrator access or support assistance.

If you need to adjust payment limits or enable additional payment methods, contact the Support team.


Important information

  • Payments are grouped into transfers twice daily (9am and 4pm, Monday to Friday). Payments made after 4pm, or on weekends or bank holidays, are processed in the next working transfer window.

  • It is not currently possible to CC a third party directly into a Pay Request email. If needed, you can copy the shareable payment link and include it in your own email.

  • When using Payment Plans, clients enter their card details once. Instalments are then taken automatically in line with the agreed schedule.

  • Card details entered during phone payments are not stored on the platform.

  • If a payment step is included in an Engage workflow, the workflow will not complete until the payment is made, unless an authorised user manually force completes it.
