What are payment statuses in Legl?

Understand what each payment status means, how to interpret it, and how it helps you track payments in Legl.

Overview

Payment statuses in Legl show where a payment is in its lifecycle, from creation through to transfer or refund. They help you track outstanding amounts, monitor completed payments, and manage reconciliation from the Pay dashboard.

Statuses are visible to anyone using the Pay feature to create, review, or manage payments.


What you can use payment statuses for

Payment statuses help you:

  • Track whether a client has paid

  • Identify outstanding payments that need follow-up

  • Confirm when funds have been successfully paid

  • See when a payment has been refunded

  • Monitor when funds have been transferred to your firm’s bank account

  • Filter and export payment data for reporting and reconciliation

The status system provides a clear audit trail of each payment’s progress.


How payment statuses work

Each payment created in Legl moves through a defined lifecycle. The status updates automatically based on actions taken by you or your client.

You may see the following statuses on the Pay dashboard:

Created

The payment request has been set up but has not yet been sent to the client.
At this stage, no payment link has been delivered.

Sent

The payment request has been sent to the client.
The client can access the link and complete payment.

Paid

The client has successfully completed the payment.
You can view the payment details, including:

  • Date and time of payment

  • Payment method used

  • Billing details

  • Payment history (including reminders)

At this stage, the funds have been received into Legl’s holding account and are awaiting transfer to your firm.

Refunded

The payment has been fully or partially refunded.
Refunds are processed from within the payment record and update automatically once actioned.

Transferred

The funds have been sent to your firm’s nominated bank account.

Legl processes transfers twice daily (at 9am and 4pm, Monday to Friday).
Multiple client payments may be grouped into a single transfer.

You can view a breakdown of each transfer, including:

  • Transfer reference

  • Bank statement reference

  • Individual payments included in the transfer

  • Associated invoice or matter references (if added)

All status changes update automatically and are reflected in real time on the Pay dashboard.


Where to find payment statuses in Legl

You can find payment statuses in:

  • Pay → Dashboard (main payments table)

  • The Outstanding and Completed summary widgets at the top of the page

  • Individual payment records

  • The Transfers tab (for transferred funds)

You can filter payments by status using the filter options at the top of the dashboard.

You can also search by client name or email address to view an individual client’s transactions.


Important information

  • A “Paid” status does not mean funds have already reached your bank account. Funds first move into a Legl holding account and are then transferred at the next scheduled payout (9am or 4pm, Monday to Friday).

  • Transfers may group multiple payments into a single bank transaction. Always use the Transfers tab to reconcile individual payments.

  • Closing a payment link prevents further payments but does not change the status of an already completed payment.

  • If a payment is marked as refunded, this reflects that the refund has been processed through Legl.
