How to manage payments in Legl

Learn how to view, track, filter, and manage payment requests using the Payments dashboard in Legl.

Overview

The Payments dashboard allows you to monitor all client payments in one place. You can track outstanding and completed payments, filter by status or source, take actions such as closing links or issuing refunds, and review transfer details.

This feature is used by firms managing client payments through Legl Pay.


How to manage payments in Legl

1. View the Payments dashboard

  1. Go to Pay in the left-hand menu.

  2. Review the main payments table to see:

    • Payment status

    • Client contact details

    • Client or matter reference

    • Payment source

    • Creator

    • Amount

You can use the search bar to find a payment by client name or email address.


2. Understand Outstanding and Completed payments

At the top of the dashboard, you will see two summary widgets:

Outstanding payments

  1. Review the total number and value of unpaid payments.

  2. View how long payments have been outstanding (0–30, 31–60, 61–90, 91+ days).

  3. Click a time bracket to automatically filter the table below.

Completed payments

  1. Review payments marked as Paid, Transferred, Refunded, or Marked Paid.

  2. Click a status to filter the table.


3. Using payment statuses

Each payment has one status shown on the left-hand side of the dashboard:

To view full details:

  1. Click the payment status.

  2. Review the payment history and transaction information.


4. Filter payments

  1. Use the status filter to view Created, Sent, Paid, or other statuses.

  2. Filter by payment source (e.g. pay request, portal, phone payment).

  3. Filter by user who created the request.

  4. Click summary widgets at the top to apply automatic filters.

You can also download a CSV of the payments overview.


5. Take action on a payment

  1. Click the payment status.

  2. Select the three-dot menu on the right-hand side.

  3. Choose the required action:

  • Send Email – Sends the payment request to the client and activates reminders.

  • Copy link – Copies the shareable payment link.

  • Close link – Prevents the client from accessing the request.

  • Mark Paid – Marks the payment as paid if completed outside Legl.

  • Refund – Issue a full or partial refund (select reason before confirming).


6. Perform bulk actions

  1. Select multiple payments using the checkboxes.

  2. Click Bulk Actions.

  3. Select Close Links to close multiple Created or Sent payment requests.


7. View transfers

  1. Go to the Transfers tab.

  2. Review transfer rows showing:

    • Transfer reference

    • Bank statement reference

    • Grouped payments included

Legl sends two transfers per day (9am and 4pm). Multiple client payments may be grouped into one transfer.

Click into a transfer to see a breakdown of included payments. You can export this data for reconciliation.


What happens next

  • When a client pays, the status updates to Paid immediately.

  • Funds are transferred to your firm via scheduled transfers.

  • Refunds move to Refund Processing before updating to Refunded.

  • All activity is recorded in the payment history drawer.


Important information

  • Payments can only have one status at a time.

  • A payment marked Refunded will not also show as Paid.

  • Refunds typically take 5–10 working days to reach the client.

  • Payment limits must be adjusted by contacting [email protected].

  • You cannot CC a third party directly into a payment request email. If required, use the Copy link option and send manually.

  • Closing a payment link prevents further payment attempts and cannot be reversed.
