How to review a completed Engage request

Step-by-step guide to reviewing a completed Engage request, from checking results to marking as reviewed.

Written by Ula Moyse-White

Overview

An Engage request moves to Ready for Review once the client has completed their submission and all automated checks have run. At this stage, your firm needs to review the CDD report and decide on the appropriate next steps.

This guide covers each step of the review process from start to finish.

Before you start

  • You need access to the Engage feature in Legl.

How to review a completed Engage request

1. Find the request

  1. Log into your Legl dashboard.

  2. Navigate to Engage → Individuals.

  3. Use the filters or search options to locate your report.

  4. Click into the request to open the full report.

2. Check prior CDD history (if applicable)

If this is not the first CDD check for this contact, review their previous check history before starting your review.

  1. Navigate to the Contacts page in Legl.

  2. Open the relevant contact record.

  3. Review all previous CDD checks listed against the contact.

If a previous check within the last 24 months returned a Consider result, a fraud flag, or a verification failure, treat this review as higher-risk and apply enhanced scrutiny before reaching a decision.

3. Review the submission

  1. Click the down arrow to expand a summary of the client submission.

  2. Review the checks in line with your firm's risk-based process.

  3. Identify whether results are marked Clear or Consider.

4. Review "Consider" results (if applicable)

A "Consider" result means Legl has flagged something that may require closer review.

Examples include:

  • A financial check identifying a difference in registered address (e.g. against Equifax data)

  • A potential PEP (Politically Exposed Person)

  • A potential sanctions hit

Watchlist screening (PEPs and sanctions)

You may see multiple possible matches for your client.

Legl uses smart name matching technology to categorise matches into:

  • Strong matches → Likely to be your client. Review carefully against details such as date of birth, location, and source.

  • Probable false matches → Similar name but likely a different person. Still review before dismissing.

Once reviewed:

  • Select Yes to confirm a match. These will remain under ongoing monitoring.

  • Select No to dismiss a match. These will be excluded from monitoring, reducing unnecessary alerts in future.

5. Review "Clear" results

A "Clear" result means Legl has not identified any issues requiring further attention.

ℹ️ Important

It is still your firm's responsibility to review the full report before making a final decision. If you are unsure on a result, please refer to your internal Risk Policy or MLRO.

6. Review any other workflow steps

Depending on your firm's workflow configuration, you may also need to review:

  • E-signatures

  • Source of funds

  • Custom forms

  • Requested documents

7. Assign to another reviewer (if required)

If your firm requires colleague review:

  1. In the review window, select Change reviewer (at the top).

  2. Choose the new reviewer from the dropdown.

ℹ️ Important

This must be done while the report is still "Ready for Review." Once marked "Reviewed," you cannot change the reviewer or status.

8. Mark the report as reviewed

  1. Click Mark as reviewed.

  2. Add any final comments.

  3. Click Mark as reviewed.

If there are outstanding watchlist screening results, a prompt will appear when you click Submit review. Select Review results to return to the watchlist panel and complete your review, or Continue without reviewing to proceed.

After submitting, you cannot add further comments.

9. Download the report (optional)

  1. From the report, click the three dots menu.

  2. Select Download report.

  3. Save the PDF to your CMS/PMS.

ℹ️ Important

For some integrations, your report will automatically be sent to your CMS once you have reviewed this. To check your integration, see Legl Integrations.

What happens next

  • The request status changes from Ready for Review to Reviewed.

  • The assigned reviewer is locked.

  • Confirmed watchlist matches remain under ongoing monitoring.

  • Dismissed matches are excluded from monitoring.

Important information

  • Legl flags results but does not make final compliance decisions.

  • Your firm remains responsible for reviewing and documenting risk decisions.

  • Once a report is marked Reviewed, you cannot change the reviewer or add further comments.

  • Watchlist matches marked Yes will continue under ongoing monitoring.
