How to convert a Pay Request into a Payment Plan

How to convert an unpaid Pay Request into a Payment Plan with its own instalment schedule.

Overview

If a client cannot pay a Pay Request in one go, you can convert it into a Payment Plan. The plan keeps the details of the original Pay Request and gets its own instalment schedule, so nothing needs to be entered again.


Before you start

  • The Pay Request must still be unpaid.

  • Payment Plans must be switched on for your firm in Settings > Pay, under Payment plans.

  • Payment Plans work with card payments only. Your client needs a valid debit or credit card.


How to convert a Pay Request into a Payment Plan

  1. Go to Pay, then Payments, and open the unpaid Pay Request to see its View payment details panel.

  2. Select the ⋯ menu at the top right, then Convert to payment plan.

  3. Payment plan is selected as the Payment type. Check the Payment total and choose a Payment frequency: Weekly, Fortnightly or Monthly.

  4. Enter the instalment amount and the payment date. For monthly plans these are Monthly instalment and Monthly payment date.

  5. Review the Plan breakdown. It shows the number of instalments, when the first one is charged, when later payments start and the final payment date.

  6. To use different amounts or dates, select Edit schedule under Need different dates or amounts?:

    • Custom payment schedule opens with the regular schedule already filled in. Change only what you need.

    • Change the Due date or Amount of any payment.

    • Select the bin icon under Actions to remove a payment, or + Add payment to add one.

    • Check for Schedule matches the plan total before you continue. The payments must add up to the plan total.

    • Select Use regular schedule to go back to the schedule Legl generated.

  7. Review the remaining Payment request fields: To account, Invoice reference and Matter reference.

  8. Add any required attachments.

  9. Create Pay request.

  10. Review your sending and reminder settings then Send email or Copy shareable link.


What happens next

  • The original Pay Request is closed and its payment link stops working.

  • Your client receives an email with the new Payment Plan link.

  • The audit trail shows that the Payment Plan was created from a Pay Request.

  • Instalments are taken automatically once your client has paid the first one.


Important information

  • The total of all instalments must match the original Pay Request amount.

  • Converting closes the Pay Request, so make sure your client uses the new Payment Plan link.

  • Payment Plans are card only.

  • Payment Plans are switched on or off by an Admin in Settings > Pay, under Payment plans.
