Legl's Customisable Forms let you collect structured information from clients as part of any Engage workflow. You create forms in the dedicated form builder, assign them to one or more workflows, and clients complete them via a firm-branded link on any device.
Before you start
Administrator permissions are required to create and edit customisable forms.
If you plan to use sections, add all sections before adding questions. Once a question is created inside a section, it cannot be moved out.
How to create a customisable form
Navigate to Engage > Custom Forms.
Click Create new form.
Enter a form name.
Optionally, add a description to provide internal context about the form's purpose.
Click Edit form to start adding questions and content.
How to add sections
Sections help organise longer forms and make them easier for clients to navigate. Conditional logic can also be applied at the section level.
Click Add section.
Enter a section title.
Add questions within the section.
ℹ️ Important
If you plan to use sections, add all sections before adding questions. Once a question is created inside a section, it cannot be moved out.
How to add questions
Click Add item.
Enter the question text.
Select the question type from the dropdown (see available types below).
Optionally, add help text to provide guidance. Help text supports bold, italic, hyperlinks, bullet points, and numbered lists.
For text answer types, you can add placeholder text — this appears inside the empty field before the client types and is not saved as their answer.
Set whether the question is required or optional.
Click Save question.
Repeat to add further questions.
To reorder questions, use the arrow buttons to move them up or down. Hovering over an existing question gives you options to edit it, add a question below it, add a conditional question or item, delete it, or move it.
Available question types
Yes / No — a simple binary question with a yes or no answer
Confirmation checkbox — a single checkbox the client must tick to confirm a statement
Radios (Single choice) — a list of options where the client selects one answer
Checkboxes (Multi choice) — a list of options where the client can select more than one answer
Short text — a single-line free text field
Long text — a multi-line free text field for longer responses
Number — a numeric input field
Date — a date picker
Country — a country selector dropdown
Nationality — a nationality selector dropdown
How to add a text item
As well as questions, you can add text items to a form. These are blocks of formatted text — useful for context, instructions, or introductions between questions. They do not collect a response from the client.
Click Add item and select Text.
Enter your content. Text items support bold, italic, hyperlinks, bullet points, and numbered lists.
Click Save.
How to add conditional questions
Conditional questions only appear to clients based on how they answered a previous question, so clients only complete what is relevant to them.
In the form builder, hover over the question you want to use as the trigger.
Select Add conditional question from the options that appear.
Enter the question and set the condition — choose which answer triggers it.
Click Save.
Conditional questions are highlighted in yellow in the form builder so you can identify them at a glance.
How to preview your form
Before publishing, use the Preview section to see how the form will appear to clients. This lets you test conditional logic and check that document requests behave as expected. You can return to editing at any time.
How to publish and add to a workflow
When you are ready, click Publish to make the form available to add to workflows.
Click Add to workflow on the form page.
Select the workflows you want to add the form to.
Click Update.
The form is added to the end of each selected workflow. If you need to reorder the steps, go into the individual workflow and adjust the order there.
You can also add a customisable form to a workflow directly from Engage > Workflows > Add step > Customisable form.
Managing your forms
The Custom Forms list shows all your forms, including their name, published status, and the workflows they are assigned to.
Click Edit to return to the form builder.
Use the three dots (⋯) menu to duplicate a form or manage its workflow assignments.
Duplicate a form when you want to create a similar form for a different context without rebuilding from scratch.
Important information
Add all sections before adding questions. Once a question is created inside a section, it cannot be moved out.
Editing a published form updates it across every workflow it is assigned to.
Conditional questions and items are highlighted in yellow in the form builder.
Forms created before the new updates are compatible with the new form builder.
