How to use Legl with Clio Manage

Start KYC and business checks from a Clio contact, and see results, documents and alerts back in Clio.

Written by Ula Moyse-White

Overview

With the Clio Manage integration, you can start onboarding (KYC) checks and business checks from a contact in Clio. Legl fills in the contact's details for you, and sends the status, result and documents back to the contact in Clio.

What you can do from Clio:

  • Start onboarding (KYC) and business checks from a Clio contact, with the contact's details filled in, so there's no re-keying

  • See the status and result of each check on the Clio contact

  • Have reports and documents filed to the contact in Clio automatically

  • See when there are ongoing monitoring alerts to review

  • Charge the cost of each check to the Clio matter

Before you start

  • An Admin in Clio has set up the Clio Manage integration for your firm. See How to set up the Clio Manage integration.

  • You have permission to send Engage requests in Legl.

  • For an individual, the Clio contact has a first name, last name and email address.

  • For a company, the Clio contact has a company name.

  3. Choose your Clio Manage region and select Continue.

  4. Sign in to Clio Manage with your own Clio account, for the region you chose.

  5. Select Allow access.

How to run checks from Clio

Legl opens the right flow for the type of contact: an Engage request for an individual, or a business search for a company.

Run a KYC check for an individual

Open the contact in Clio and select More actions > Legl > New onboarding or KYC workflow.

Legl opens the Create Engage request drawer, with the contact's name and email address filled in.

Under Workflow information, add the Clio matter reference in Matter reference (optional). You must add it for the cost to be charged to the matter in Clio as a disbursement.

Choose a workflow and send the request as normal.

ā„¹ļø Further guidance

Your client completes the request in a workflow branded with your firm's details. When they finish, the assigned reviewer is notified in Legl, and the Clio contact updates to show Legl workflow status: Ready for review and Legl workflow result: Clear or Consider.

When your client has completed the request, review it in Legl and select Mark as reviewed. Marking the request as reviewed is what sends the documents to Clio. If the request is not marked as reviewed, nothing is filed.

Run a business check

Open the company contact in Clio and select More actions > Legl > New onboarding or KYC workflow.

Legl opens New business search, with the Company name and Location filled in, and runs the search for you. If no country is set on the Clio contact, the search uses your Legl account's default country.

Add a Matter reference (optional) if you want to charge the cost to a matter in Clio. Nothing else runs until you select Start next to the right company. Selecting Start runs the company report and business sanctions check.

From here, the steps are the same as onboarding any business in Legl.

What you see in Clio

Legl fields on the contact

Legl adds these fields to the Clio contact and keeps them up to date.

For individuals:

  • Legl workflow status: Created, Sent, In progress, Ready for review or Reviewed

  • Legl workflow result: Clear or Consider. The result can show while the status is still In progress.

  • Link to Legl workflow and Link to Legl contact

  • Legl monitoring alerts, when there are alerts to review

For companies:

  • Registered company name

  • Link to Legl contact: opens the business's contact page in Legl. You can open the company report from there.

  • Legl sanction screening status and Legl sanction screening result

  • Legl sanctions monitoring alerts and Legl company monitoring alerts

KYC check history

When a request is marked as reviewed, Legl updates the contact's KYC check history in Clio with the date and the related matter, if there is one. Legl fills in AML check completion, ID check completion and Source of funds completion. Conflict check completion is a Clio field that Legl does not fill in.

Documents

Legl files documents to a Legl folder in the contact's Documents in Clio. Documents are filed to the contact, not the matter, so a client's checks are kept in one place across all their matters.

For individuals, these are filed when the request is marked as reviewed:

  • The CDD report

  • The Source of Funds report

  • Signed e-signature documents

  • Documents your client uploads to a document request, as a zip file. To open it in Clio, select Extract.

  • Custom forms, as one PDF that includes any files uploaded in the form

Documents you share with your client using Share a document are not filed. Files uploaded in a custom form are not filed separately, but you can download them in Legl.

If you add a matter reference in Legl when you send the request, it is included in the file names in Clio.

For companies, the company report is filed as soon as you select Start. The sanctions report is filed once the sanctions screening has been reviewed.

Ongoing monitoring

If the contact is on ongoing monitoring, the Legl monitoring alert fields on the contact show when there are alerts to review. You review alerts in Legl.

What happens next

  • Your client completes the request, and the reviewer is notified in Legl.

  • The Legl fields on the Clio contact update as the request moves through each status.

  • When the request is marked as reviewed, documents are filed to the contact. If you added a matter reference and set up disbursements, the cost is added to the matter in Clio.

Important information

  • Only checks started from a Clio contact are sent back to Clio. Checks completed before you connected are not sent.

  • Documents are filed only if the request is marked as reviewed and the person who created it has connected their Clio account.

  • Risk assessments, in-person CDD and standalone payment requests can't be started from Clio. A workflow that includes a payment step can.

  • Updated company reports from ongoing monitoring stay in Legl.
