How does Legl integrate with Actionstep?

Easily integrate Legl with Actionstep to streamline onboarding, automate KYC, and store compliance docs directly in your matters.

Overview

The Legl & Actionstep integration allows you to accelerate file openings and enhance efficiency with a seamless, no-code solution. By connecting Legl with Actionstep, you can automate client onboarding, streamline compliance checks, and ensure all necessary documents are stored directly within Actionstep.

Prerequisites

Before integrating, ensure that:

  • You have an active Legl account.

  • You have an Actionstep account with appropriate administrative access.

  • You know the ID number of the ‘individual’ role within your Actionstep system.

  • You know the income account in Actionstep you want any automated disbursements paid into.

Integration Setup

Step-by-Step Instructions

Integrating Legl with Actionstep requires three key steps:

  1. Connect the Platforms

    • You can initiate the connection directly from the Legl platform.

    • Go to the 'Integrations' tab on the left hand side in your platform.

    • Click 'Manage'

    • Connect ActionStep using the designated 'Connect' button.

    • This will create a button in ActionStep like the following on your Matters which will allow you to launch Individual checks or company checks directly from your Matter.

2. Enable KYC Status Updates

  • You can receive KYC Status updates back into ActionStep by toggling on 'Enable KYC Status Updates' in Legl.

  • Click 'Automatically Setup KYC Status Fields' to generate fields on the Individual Contact object in ActionStep like so:

  • And 'Test Configuration' against a Participant ID from ActionStep.

3. Enable Disbursements

  • You can generate Disbursements back into ActionStep by toggling on 'Enable Disbursements' in Legl.

  • Choose your disbursement type.

    1. 'Per Workflow' will create a Disbursement in ActionStep every time an Engage request is 'Complete' and reviewed for that Workflow.

    2. 'Per Step' will create a Disbursement in ActionStep for every step in a Workflow every time an Engage request is 'Complete' and reviewed, so multiple steps can create multiple Disbursements.

    3. Creating a 'Risk Assessment' Disbursements will create a Disbursement every time a Risk Assessment following a particular template is 'Complete' and Reviewed.

    4. The 'Account ID' is the ID for a particular Account in ActionStep. Leaving it blank will save the Disbursement with the Default Account on each Matter.

Remember, once you have saved a configuration, you can test it at any time by clicking 'Test Configuration' and entering a Matter reference for a Matter in ActionStep.

Using the Integration

Features and Functionality

Once integrated, the Legl & Actionstep integration allows you to:

Engage Request Document Upload

  • Launch Legl directly from a matter in Actionstep.

  • Pre-fill key information (First Name, Last Name, Email, and Client/Matter Reference) in Legl Engage Requests.

  • Send out KYC requests that can include various workflow steps.

  • Receive updates on KYC requests at the client contact level as they progress, including:

    • Status (the request has been sent ot client, is ready for review, or reviewed)

    • Results (the request is pending, or is showing a clear, or consider result)

    • ID document expiry (the expiry date for any ID documents provided by the client)

    • Date of last status update

  • Automatically store completed compliance documents at the matter level once they are reviewed.

  • Automatically record disbursements for requests sent to clients via Legl at the matter level once they are reviewed and complete.

User Guide

  1. Open a matter in Actionstep.

  2. Click the Legl link from within the Matter Info section.

  3. Complete the Legl Engage Request, which will be pre-filled with client details.

  4. Send out the Engage request(s) to your client.

  5. Monitor updates on the status of your Engage request(s) via the clients contact page in Actionstep.

  6. Once reviewed, the completed request will be identified by Actionstep and stored in the designated folder.

  7. Review, edit and save any automated disbursements recorded against the matter within Actionstep

  8. Access and manage all compliance documents within Actionstep as needed.

  9. Access Billing - Disbursements on a matter in ActionStep to view the Disbursements created from Legl.

Reconciliation and Maintenance

Monitoring and Reconciliation

  • Regularly verify that client information is correctly pre-filled in Legl.

  • Ensure that completed documents are appearing in the designated Actionstep folder.

Regular Maintenance

  • Periodically review the integration setup to ensure all links remain functional.

  • Contact Legl Support for any necessary updates or modifications.

FAQs

KYC Updates

  • Where will I see KYC updates from Legl in Actionstep

    KYC updates for each client / individual will appear in Actionstep on that client’s ‘Contact’ page.

  • Can I see the full audit trail of all Legl CDD activity inside Actionstep, or just the latest status?

    Legl will return status updates to the client’s Contact page in Actionstep for these key fields:

    • Legl Workflow Status: Has the request been sent to the client, is it ready for review, or reviewed and completed?

    • Legl Workflow Result: Are the checks clear or is there a consider result that the user may want to investigate further before proceeding? The status will show as pending if the client has not yet completed the checks.

    • Legl Workflow Name: The name of the Legl Engage workflow that was sent to the client

    • Legl ID document expiry date: Are the ID documents used to verify this individual’s identity still valid and in date?)

    • Leg Workflow status last updated: The date on which the last update occurred. **

  • If a client has been sent multiple different workflows - will the user see only the most recent or all engage requests the client has been sent over time?

    Only the most recent update will be populated on the Contact in ActionStep e.g. if Workflow 1 was sent to the client, and the end client completed it, the customer would see the workflow status update in ActionStep to ‘Ready for Review’. If they then sent a Workflow 2 to the same client, an update would be made to the Contact now reflecting a 'Sent' status instead of 'Ready for Review'.

  • What happens if there is a mix of results on a workflow (e.g. in a multi-step workflow the CDD checks come back as ‘Clear’ but there is a ‘Consider’ results on Source of Funds)?

    If any one of the results is 'Consider', the overall result and update shown in ActionStep will be 'Consider' so the customer is on notice to carry out additional review.

  • Can multiple users view and act on Legl CDD data in Actionstep (e.g. compliance teams, fee-earners, accounts)?

    Any user with access to the clients information in Actionstep will be able to view the information returned from checks run via Legl.

  • Can we launch both individual (KYC) and business (KYB) checks directly from Actionstep?

    Both KYC (CDD, SoF, eSignature etc.) and KYB checks (company reports, business sanctions) can be launched from Actionstep. However, status updates and documents are not returned for KYB checks - the user will only see that the check was completed and will need to view the documents via Legl. For KYC the user will now be able to track progress and results of checks and access any associated CDD documents collected via Legl, directly in Actionstep.

  • Are there limits on the number of checks or types of workflows that can be synced?

    There are no limits on the volume of checks run.

  • How does the integration handle clients with multiple matters or repeat instructions?

    CDD status is stored at the client level so can be viewed separately to specific matters

  • Can we customise what KYC data is synced (e.g. which fields from Legl appear in Actionstep)?

    Actionstep can be customised to alter the titles / how data is labelled, but by default Legl will return only the data set below to the client Contact profile:

  • Can we retrigger or refresh a CDD check directly from Actionstep if details change?

    Yes - checks can be resent and updated.

  • How does the integration handle updates or deletions (e.g. if a CDD is withdrawn or fails)?

    Update to Actionstep are instantaneous

Automated Disbursements

  • Where will I see disbursements for costs incurred via Legl in my Actionstep platform?

    Disbursements can be found in the Matter file in Actionstep. They will be recorded against the Matter from which the Legl engage request was launched.

  • Does the disbursement sync include the specific check type or just a total cost line item?

    Disbursements will set out what was charged (the unit cost) and whether or not tax was included in the unit price for each step (e.g. in a multi-step workflow that includes CDD, Source of Funds and an e-Signature document, the user will see a disbursement raised for each step on the matter)

  • Can disbursements be automatically allocated to specific billing codes or cost centres?

    Disbursements can be allocated to specific accounts to control how costs are allocated - this will be set up within the integration settings during set up.

  • Can multiple users view and act on Legl CDD data in Actionstep (e.g. compliance teams, fee-earners, accounts)?

    Any user with access to the matter information in Actionstep will be able to view the disbursements created via Legl. However, the firm may require the consolidated billing feature (EBM) enabled in their Actionstep subscription in order for Legl disbursements to be raised.
