Overview
Workflows in Legl define the steps a client completes as part of an Engage request. Each workflow can include a combination of checks, forms, and tasks tailored to the type of matter or level of due diligence required. For example, you might create one workflow for standard individual onboarding and another for higher-risk or business clients.
Creating a workflow allows your firm to control exactly what information is collected, in what order, and which departments have access. Only users with Admin access can create or manage workflows
Before you start
Before creating a workflow, make sure you have:

How to create a workflow
Go to Engage > Workflows from the left-hand menu.
Click Create workflow.
On the Settings tab, complete the following sections:
Workflow details: enter a Workflow name and, if you want, a Workflow description (up to 300 characters) explaining when to use the workflow.
Department visibility: choose which departments can see and use the workflow, or tick All departments to make it available across your firm.
Sequential step settings: tick Sequential steps if clients must fully complete one step before moving on to the next. Legl recommends leaving this unticked so clients can complete steps in any order.
Select the Edit workflow tab.
Next to Getting started message, click Edit to add an optional introduction message, then click Save changes. The message is shown on the client's Getting started screen and added to the top of the Engage welcome email. Do not add a sign-off, as one is added automatically.
Click Add step, select the step you want to add, complete its settings and click Add step. Repeat for each step.
Click Save.
What happens next
The workflow becomes available for selection when creating an Engage request.
Any departments with visibility permissions will be able to use it immediately.
The workflow can be edited, duplicated, or archived at any time by an Admin.
How to edit, duplicate or archive a workflow
Go to Engage > Workflows.
Find the workflow using Search workflows, or the filters at the top of the page: sort by Alphabetical or Date modified, and use Status to show Active or Archived workflows.
To edit a workflow, click View/Edit on its card.
To duplicate or archive a workflow, click the three dots (⋯) menu on its card and choose Duplicate or Archive. You can also open View/Edit from this menu.
Each workflow card shows its status, steps and department visibility. It also shows the version number, who last saved the workflow and when, for example "Version 4, saved by [name] on 2nd October 2026", so you can see when a workflow was last changed.
Important information
There is no limit to the number of workflows your firm can create.
Creating workflows is free, but some steps (such as CDD or eSignature) may incur additional fees once the Engage request is completed by the client.
Only users with Admin permissions can manage workflows.
