In this article we will cover:

What is Engage?

Let's start at the beginning! Engage is Legl's comprehensive onboarding tool which enabled users from anywhere in your firm seamlessly bring on new clients all in one place.

It brings together every stage of the onboarding journey - from client due diligence and verification to payments.

Engage also helps to make handoff between staff members straightforward and quick - from fee earners, to compliance staff, to practice management and all those in between, Legl's workflows ensure everyone on the team is on the same page.

How do I login?

You can access the dashboard at any time once you have created an account here- account.legl.com.

If you do not have login details, please contact a 'Legl Admin' at your firm who will be able to invite you to your Legl dashboard.

How do I send an Engage Request to a client?

1. Select 'Engage > Individuals' from the left-hand menu, followed by 'Send engage request', in the top right hand corner of your screen. You can also do this from the home Dashboard when you log in to Legl.

2. Complete the Contact Details for your client - If applicable, enter the 'Matter reference' associated with the workflow.

if you have already engaged with the client via Legl, when you enter their email address, you will be asked whether you wish to use the existing contact.

If the suggested contact is the one you intend to interact with, select 'Use this contact' and all of the personal information of said contact will be pre-filled for you. If entering information for a new client, their details will be stored for future reference and engagement.

3. From the 'Reviewer' dropdown, select who will review the returned workflow (this user will receive an email notification once the workflow is ready for review).

4. Select the workflow you intend to send to your client, followed by 'Create Engage request' (this will create the request ready for you to send).

5. Your workflow is now ready to be sent to your client, via Legl's automated and firm-branded email. You will find the following options available as below:

  • 'Include me as CC': tick this box to display your email address in the automated email that is sent to your client via Legl. For your records, you will always be sent a BCC copy of the email that is sent to your client.

  • 'Automated reminder settings': select from 'On / Off' to send automated, firm-branded reminder emails to your client after 1, 3, 7, 14 and 30 days (until the client successfully completes the workflow). To customise when the reminder schedule begins, select from the 'Start reminders after' dropdown (you will see the schedule automatically update to reflect your selection).

  • 'Send Email': this will send an automated, firm-branded email to your client via Legl, with any of the above settings applied (this email will include the unique workflow link for your client to complete online).

Note: If you do not wish to send the workflow to your client via Legl's automated email (using the 'Send Email' button), you can select the 'Copy shareable link' option and paste the unique workflow link into your own email communication to the client. Note, none of the BCC / CC copy or automated reminder settings will apply.

What will my client see?

Note, Legl workflows can contain multiple different steps for the client to complete and/or review. In this example, let's take a look at a Standard CDD report being completed as part of a single step workflow. Visit our guide to learn more about Legl's workflows.

1. Your client will be invited to agree with Legl's Terms and Conditions.

2. Having agreed to Legl's Terms and Conditions, your client will be prompted to enter their personal details (full name, phone number, date of birth, address).

3. Your client will then be asked to upload a photograph of their ID document. This can be either a passport, driver's licence or a government issued ID card.

They will be given the option to upload a saved photograph directly from their device, or they can take a new photo using their smartphone camera.

4. Having uploaded a copy of their ID, your client will then be asked to record a short video. Upon clicking 'record', they will see onscreen instructions asking them to repeat three numbers and, following by looking in the direction suggested onscreen.

Having completed the video, and if there are no further workflow steps for your client to complete (as is the case in this example) your client will see the "Success" screen below, confirming the workflow completion.
