How to create and manage Customisable Forms

Customisable Forms overview

Legl’s Customisable Forms are designed to help you and your firm accelerate information capture, by seamlessly incorporating digital forms into client-facing workflows, that can be used at any point during the client lifecycle.

Using Legl’s workflow builder you can create and add multiple Customisable Forms to new or existing workflows. This enables you to capture information alongside carrying out other key processes such as client due diligence, source of funds or payments.

Example use cases for Customisable Forms

  • New Client Questionnaire: Capture key information about your new client, helping you better understand who they are and why they have instructed you.

  • Perform Enhanced Due Diligence: Collect additional information from clients you’ve considered high risk and support your firm’s AML processes.

  • Capture matter information: Accelerate the commencement of substantive work for your client by capturing key matter details, ensuring you have all the information you need.

  • Source of Wealth Questionnaire: Better understand how clients have accumulated and generated assets to effectively meet AML requirements for certain high risk transactions.

  • Collect additional company information: Capture a complete picture for business due diligence, supporting consistent processes across the firm.

  • Client feedback surveys: Better understand your client feedback and customer satisfaction, as well as supporting accreditation requirements.

  • Capture consent: Use the Confirmation Box element to ask your clients to acknowledge firm policy, agree to terms and conditions, or consent to marketing/GDPR initiatives.


Creating a Customisable Form

Please Note: You need to have Administrator permissions in order to create and edit workflows in Legl. You will need this permission to create a custom form also.

  1. Log into your Legl account: https://account.legl.com/

  2. From the left-hand menu, go to Engage > Workflows.

  3. 💡 Tip: Want to build your form without affecting a live workflow? Simply clone an existing workflow, build your custom form and then set it live. Don't forget to archive the original cloned workflow if no longer needed!

  4. Select Add step, followed by selecting the Customisable Forms step.

  5. Select the Type dropdown to choose the element type you wish to use.

  6. Enter a client-facing Form title. Tip: we recommend keeping titles unique within the same workflow, for an optimised and easy to follow client experience.

  7. You can now begin creating and adding form fields:

  8. Enter a Field title. This is what the client will see, e.g. “Please detail your source(s) of wealth” or “What is your national insurance number?”

  9. Where appropriate, enter a client-facing description, helper text, paragraph or statement (this will differ depending on the 'Type' you select).

  10. Select Mark as optional if you wish for the element to be optional (unticked will make the field required and the client will not be able to submit the workflow without completing it).

  11. Select Add new element to continue adding new form elements.

  12. Use the Preview button to visualise how your form will appear to the client.

  13. Use the Add to workflow button to save your form.

  14. Lastly, if you are happy with any/all other changes made to the entire workflow, select Submit workflow to save it.

Once your Customisable Form has been saved as part of a workflow, the workflow will be available to send as an Engage Request. Visit our guide on creating and sending Engage Requests for more information.


The client experience

As per all Legl workflow steps, the Customisable Form(s) will be accessible on the client’s unique, firm-branded, online link, which is sent as a workflow via an Engage Request.

To visualise how your form will appear to the client as you build it, use the “Preview” button (noted above in step 7).

The client can complete the form using their preferred device, and can even switch between devices - any fields they complete will auto-save, so they can begin completing the form and return to it later if need be. Once submitted, it will be available to the firm for review.

Reviewing a Customisable Form

Once the client has submitted the Customisable Form step(s), these can be accessed via the Engage Request, by navigating to Engage > Individuals > select View next to the relevant request. From there, you’ll be able to see any completed steps so far as indicated by a green tick (even if the rest of the workflow steps are still in progress with the client).

Once the client completes all the available steps received in the workflow and selects the Submit button at the bottom, the marked “Reviewer” at the firm will receive an email notification and the entire workflow will be available to be marked as “Reviewed”.

When reviewing the returned form, you will note the client details listed which are pulled from the associated Contact in your Legl account. Beneath that you will find all the form fields and client answers listed in number order.

Client intake

Where to use this: Client Information, Matter Information, Bank Details, Marketing and Data Protection Consent, Referrals Information, and more.

Where to use this: Source of Funds, Source of Wealth, Business Information, Enhanced Due Diligence, and more…

  • Are the Articles of Association filed at the official business register, the current version?

  • Does any individual or company hold 25% or more of the voting right in the Company (other than as a result of holding more than 25% of the shares?)

  • Please advise whether any of your family members or close business associates hold any of the following positions: Heads of State, Heads of Government or Ministers, MPs or MSPs or members of another legislative body, members of high-level judicial bodies (including Course of Session or UK Supreme Court), members of courts of auditors of central banks, Ambassadors and high-ranking officers in the Armed Forces, Members of Administrative/Management/Supervisory bodies of state-owned enterprises. FAQs and Troubleshooting

  • Can I download the Customisable Form once returned by the client?

    • Yes, simply navigate to and open the request with the respective form completed by the client. From there, you will be able to use the “Download” button to download all the information included in the form as a PDF download.

  • Is there a character limit for single-line and multi-line answers?

    • No, there is currently no character limit on what the client can enter into those fields.

  • Can I choose whether certain fields are optional / mandatory?

    • At this time, all fields are required and must be completed by the client before they can submit their form. If you would like to include an “optional” field, you can suggest that the client enters “N/A” (or similar) as an alternative to leaving a field empty.

  • Is there a limit to how many fields can be included on a form?

    • No, you can add as many fields to your form as you’d like. If you have a very long form you would like to create, we often recommend breaking it out into separate forms (within the same or as a separate workflow) for an optimal client experience.

  • Can my client close the workflow link and return to the form to complete later?

    • Yes! The custom form auto-saves any field entries on the go. So if the individual completing the form needs to come back to it later, their work will be saved. They could even start completing the form on their mobile device and then open the same link to complete it on another device later.
