Have these templates ready before building your first workflow. Your welcome message wording and any documents you plan to use in e-signature steps need to be ready before your workflow build session.
Before you build your Engage workflows, it is worth preparing the key messages your clients will see. These templates cover the most common communication points: the welcome message that appears when a client opens a request, wording to add to your client care letters or terms of business (which can be uploaded to use in workflow e-signature steps), and instructions for clients completing identity verification.
Copy, adapt, and use them as a starting point. Replace any placeholder text before use.

When preparing your terms of business or client care letters to upload as workflow documents (for example, for use with an e-signature step)
When explaining identity verification and document requirements to clients ahead of or during the onboarding process
How to use these templates
Copy the relevant template, replace any placeholder text in square brackets, and adapt the wording to reflect your firm's tone and regulatory obligations. Your MLRO should review any templates that reference regulatory obligations before they are used with clients.
Template 1: Client care letter and terms of business wording
Add this wording to your terms of business or client care letters to set expectations with clients about how Legl will be used during onboarding. Once updated, you can upload your terms of business as a document in a workflow e-signature step.

We use the services of Legl to provide secure digital identity verification, online payments, and to share key documents as part of our client onboarding process, in line with our obligations under the Money Laundering Regulations 2017 and SRA guidance.
All information provided is securely processed by Legl using the highest security standards to encrypt your details and keep your personal data safe.
You will receive a link to start your client onboarding, and you will be redirected to Legl's portal where the verification will take place. You will receive an immediate email confirmation once the flow is finalised.

Template 2: "Verify your identity to get started" — CDD instructions
Use this wording to explain identity verification document requirements to clients. This can be included in workflow instructions or sent as a standalone message.

Residency Card (if applicable)
Please make sure:
All documents are clear and current.
Your name and date of birth are visible.

The name on your document matches the details you have provided to our firm.
Template 3: Workflow welcome message — Example 1
This message appears when your client opens an Engage request. It is configured per workflow during your workflow build session.

Welcome to [Firm Name], we are looking forward to working with you. As part of our onboarding process, and in line with our obligations under the Money Laundering Regulations 2017 and SRA guidance, we are required to carry out identity verification checks on all new clients.
This should take around five to ten minutes to complete. You will be asked to upload a form of government-issued photo ID (such as a current passport or photocard driving licence), and in some cases proof of address.
Your personal information is handled securely by Legl, our digital onboarding platform. Your details are encrypted and will only be used for the purposes of client due diligence.

Template 4: Workflow welcome message — Example 2
Use this alternative if you want to provide more detail about acceptable ID documents.
