How to add your team to Legl, set the right access level for each person, and manage users as your firm grows.

Add your team to Legl and set the right access level for each person before training begins.

It is worth taking five minutes before you start this step to think through who needs access and what level of access each person actually needs. Getting this right now avoids a support request later, and means your team lands in Legl with a clear, appropriate view from day one.


Before you start

  • A list of everyone who needs access to Legl, with their work email addresses

  • A decision on who needs Firm Admin access — see the roles overview below if you are not sure

  • Your MLRO's name and email address noted separately, if you are using Engage

  • Phase 2 module configuration complete — do not add users before your modules are configured


User roles in Legl

Legl has one elevated access level: Firm Admin. This is a simple on/off toggle. All other permissions are set to sensible defaults when a user is added, and can be adjusted for individual users from Settings > Team & departments.

  • Firm Admin — full access to platform settings, user management, workflows, and reporting. Toggle this on for the firm admin, MLRO, and anyone responsible for configuring or overseeing Legl.

  • Standard permissions — all other users receive default access to the products your firm has enabled. Individual permissions across Engage, Pay, Finance, and Risk Assessments can be adjusted per user from Settings > Team & departments if needed.


Add your team

Watch the walkthrough first, then use the steps below if you need to refer back.

Step-by-step guide

  1. Go to Settings > Team & departments in the left-hand navigation.

  2. Click Add user.

  3. Enter the user's name and email address.

  4. Toggle Firm Admin on if this person needs admin access, or leave it off.

  5. Click Send invite. The user will receive an email to activate their account.

  6. Repeat for each team member.

  7. To adjust a user's permissions or deactivate them, return to Settings > Team & departments and select Update next to the relevant person.

ℹ️ Tip

If you are unsure whether someone needs Firm Admin access, leave it off. It is straightforward to enable later, and it is better to add access deliberately than to remove it after the fact.


Important information

  • Users receive an email invitation when added — ask them to check their junk folder if it does not arrive within a few minutes

  • Users must activate their accounts before they can log in — chase this before go-live, not on the day

  • Only Firm Admin users can manage settings, add users, and configure workflows

  • You can add more users at any time — you do not need everyone set up before moving to the next step


Before you move on

  • All team members who need access before go-live have been invited

  • Firm Admin access has been confirmed for the right people

  • You have noted your MLRO's email address for reference during training

  • Invited users have activated their accounts, or know they need to before go-live
