How to configure Engage settings

Configure Engage reminders, MLRO notifications, escalation and recent check alerts, ID document alerts, and email preferences.

Overview

Engage settings let you control how Legl handles reminders, notifications, and email behaviour for client engagements. You can configure these settings to match your firm's compliance and communication preferences.

Settings are configured at the firm level and apply to all Engage requests.


Before you start

  • You must have Admin permissions to access and configure Engage settings.

Reminders

Reminders control how quickly Legl sends automated follow-ups to clients who have not yet completed an Engage request.

  1. Go to Reminder start after days.

  2. Select how many days after the initial email is sent the first reminder should be sent.


MLRO email settings

These settings control whether your Money Laundering Reporting Officer (MLRO) receives email notifications when engagements are completed.

  1. Enter the MLRO's email address in the MLRO email field. To add multiple recipients, separate each address with a comma.

  2. Select the MLRO email trigger to choose when the MLRO receives notifications:

  • None: no email notifications are sent to the MLRO

  • On completion: an email is sent when any engagement is completed

  • EDD only: an email is sent only when Enhanced Due Diligence is required (i.e. a Consider result is flagged)


Targeted compliance signal notifications

Targeted compliance signal notifications send emails to specified recipients when a PEP, sanctions, or high-risk country signal is detected during CDD or ongoing monitoring. This is separate from the MLRO email settings above, which cover broader CDD results.

You can set recipients for each signal type independently:

  • PEP notification recipients: email addresses to notify when PEP signals are detected

  • Sanctions notification recipients: email addresses to notify when sanctions signals are detected

  • High-risk country notification recipients: email addresses to notify when contacts in high-risk countries are detected

To add multiple recipients for any signal, separate each address with a comma.

ℹ️ Important

Targeted compliance signal notifications are designed for high-priority compliance signals. If you need notifications for all completed engagements or all Consider results, use the MLRO email settings above instead.


Newly issued ID document alerts

This setting flags identity documents that were issued close to the date of the identity verification check. This can help identify potentially fraudulent documents.

  1. Enter a number in the Newly issued ID threshold days field. Documents issued within this many days of the IDV check will be flagged as "consider".

  2. Leave the field blank to disable this alert.


Recent ID/AML check alerts

This setting enables a banner that warns fee-earners when a similar check has already been completed for the same client within a defined number of days. This helps reduce the risk of duplicate checks being sent to the same client by different fee-earners.

The setting is off by default. Enter a threshold in days to enable it.

  1. Go to Recent ID/AML check threshold days.

  2. Enter the number of days you want Legl to look back for recent similar checks. For example, entering 30 means the banner appears if a similar check was completed in the last 30 days.

  3. Leave the field blank or enter 0 to disable the banner.

When the banner appears, fee-earners will see:

  • Who completed the previous check

  • Which workflow and step was used

  • A link to the previous check results


Email notifications

These settings control whether the lawyer who creates or requests an Engage request receives a copy of the email sent to the client.

  1. Select the BCC on request email option to control whether a blind copy is sent to the requesting lawyer:

    • Always: a BCC is sent on every request email

    • Never: no BCC is sent

  2. Select the CC on request email option to control whether a visible copy is sent to the requesting lawyer:

    • Always: a CC is sent on every request email

    • Never: no CC is sent

    • Default On: a CC is included by default but can be turned off per request

    • Default Off: no CC is sent unless manually enabled per request


Notifications

These settings control who is notified when an Engage email fails to deliver due to a hard bounce or spam complaint. Both options can be enabled at the same time.

  1. Enable Notify sender when an Engage email is not delivered to send an in-app notification and email to the lawyer who sent the request.

  2. Enable Notify reviewer when an Engage email is not delivered to send an in-app notification and email to the assigned reviewer. This notification is skipped if no reviewer is assigned.


What happens next

Changes to Engage settings take effect immediately and apply to all future Engage requests.

Existing requests already in progress are not affected.


Important information

  • Changes to Engage settings apply at the firm level and affect all future Engage requests.

  • MLRO email notifications require a valid email address to be entered. If the field is left blank, no notifications will be sent.

  • The newly issued ID threshold only applies to identity verification checks completed after the setting is configured.

  • Targeted compliance signal notifications cover PEP, sanctions, and high-risk country signals, each with its own recipient list. Other check results (such as adverse media) are not included.

  • Recent ID/AML check alerts are off by default. Enter a number of days to enable the banner. Leave the field blank or set it to 0 to disable.
