Overview
This article explains how to set up KYC status updates between Legl and Actionstep with support from the Legl team. Once enabled, KYC workflow progress, results, and documents from Legl are automatically shared with the relevant Actionstep matter, using the Matter ID to keep records aligned.
Before you start
Before setting up KYC updates, ensure:
You are an Actionstep user with “Administrator – with authority” permissions is available
You have the same email address on your Legl user profile and ActionStep account
You know which ActionStep company instance your firm is using
Your firm uses Matter IDs consistently in ActionStep
How KYC updates work
KYC updates are matched using the Matter ID in Actionstep.
Any Engage workflow with a Matter reference that matches a Matter ID in Actionstep will send updates back
Updates are written to the Contact, provided the Contact is an Individual type Participant on the Matter
ℹ️ Important
KYC updates rely on Matter ID matching between Legl and ActionStep.
Legl: Engage request with Matter Reference 1671
ActionStep: Matter ID 1671
As workflows progress, ActionStep is updated with:
Legl workflow status (Sent to client, Ready for review, Reviewed, Closed)
Legl workflow result (Pending, Clear, Consider)
Legl workflow name
Legl ID document expiry date (Pending or a specific date)
Date the workflow status was last updated
These fields update:
Each time a new workflow containing a CDD step is run
Each time the workflow reaches a new stage (Sent, Ready for review, Reviewed)
When a workflow is Marked as Reviewed in Legl, all documents generated from the workflow (for example, CDD or Source of Funds reports) are returned to a designated folder on the ActionStep matter.
How to set up KYC updates
Go to the Integration Settings --> Manage page in your instance of Legl:
Enable KYC Status Updates
You can receive KYC Status updates back into ActionStep by toggling on 'Enable KYC Status Updates' in Legl.
Click 'Automatically Setup KYC Status Fields' to generate fields on the Individual Contact object in ActionStep like so:
And 'Test Configuration' against a Participant ID from ActionStep.
You can find the Participant ID by going to a Participant in ActionStep and getting the last number in the URL (in the below example the Participant ID is '905').
What happens next
Once setup is complete:
New KYC workflows launched from ActionStep will send status updates back to the matter
Results and document expiry information will appear on the Contact
Documents will be returned automatically when workflows are reviewed
Important information
Important:
Matter ID matching is required for updates to appear
Contacts must be an Individual type Participant on the Matter
Updates are triggered by workflow progression, not manual refresh
Document return occurs when CDD Reports are Marked as Reviewed, not when a workflow is first sent
