How do I manage payments?

An overview of how the Legl pay dashboard works.

This article explains how to view, track, and manage payment requests in Legl, including understanding payment statuses, filtering payments, and taking actions such as closing links or marking payments as paid.

You can use the Payments dashboard to:

  • Track whether clients have paid

  • Filter outstanding vs completed payments

  • Close unused payment links

  • Mark payments as paid if taken externally

Understanding your Outstanding payments & Completed payments

At the top of the Payments page, you’ll see two summary widgets:

  • Outstanding payments

  • Completed payments.

These give you a clear overview of how much money is owed, how much has been paid, and where payments are in the process.

ℹ️ Clicking on a status filters the payments table below so you can view those payments in detail.

Outstanding payments

This widget shows how many payments are unpaid, their total value, and how long they’ve been outstanding (0–30, 31–60, 61–90, and 91+ days).

Completed payments

This widget shows payments that have already been dealt with, including Paid, Transferred, Refunded, and Marked paid, along with their total values.


How to use statuses to manage your payments

You can view the status of a payment on the left-hand side of the dashboard.

Payment Status

Definition

Created

A request for payment has been created in Legl.

Sent

A request for payment has been sent to the client via an automated email, through Legl. It can be sent either as a standalone request or as part of a workflow.

Marked Closed

The pay request has been manually marked as closed, for example, if the client is no longer proceeding with the matter.

Paid

The payment has been successfully completed by the client. The funds will be transferred to the firm’s account within 3 working days.

Marked Paid

The payment has been manually marked as paid. This is useful if the payment happened outside Legl or was not matched for some other reason.

Transferred

The payment has been successfully transferred to the specified account. You can view all transfers in the Transfers page.

Refund Processing

The refund is being processed. They generally take between 5 and 10 working days to reach the client’s account.

Refunded

A client’s payment has been refunded in full.

NB: Payments can only have one status. A payment with the status "Refunded" will not also have the status "Paid"

Partially Refunded

A client’s payment has been partially refunded. However, this will show as the entire value of the original payment in the main table.To see how much has been refunded you can see refund details in the drawer by clicking on the payment.

Note: Filtering using the status Outstanding shows any payments that are Sent or Created.


How to use enhanced filters to view specific payments

You can use enhanced filter options to refine your payments data. Filters include payment status, payment source and the user who created the request.


What actions can you take on payments

To view all actions, click the status of the payment on the dashboard, and then click the three-dot menu on the right-hand side of the next screen screen.

Send Email

This will send the request directly to the client via email. This function also turns on automatic reminders.

Copy link

Copy the request link to your clipboard, ready to paste into the body of an email to send to your client. This is available if the pay request is Created or Sent.

Close link

If the request is Created or Sent you can use the action Close link. This prevents the client from accessing it if, for example, they are no longer proceeding with the matter.

Mark Paid

Mark the request as paid if, for example, the client has paid via a different payment method.


How to perform bulk actions

Bulk Actions allow you to perform actions to many requests at once. To perform actions in bulk, select requests using the check-box.

Close links

To close payment links in bulk, use the filter tool to select the required Created or Sent requests. Once selected, click Bulk Actions > Close Links
